Role will report to Operations Manager but will take direction from Service Manager and Service Coordinator
Role will have the possibility of after-hours calls
Job responsibilities
Track progress of all workshop jobs through weekly timesheets
Create and send all required POs to vendors and add POs to job folder
Coordinate with Parts Dept to make sure all parts for shop and field service have been ordered for jobs. If parts are not here yet, track the delivery times and keep Service Manager informed.
Create weekly scheduled meeting with Service Manager and Service Coordinator to receive any updates on job changes and inform him of job progress against quoted time. During this meeting also find out which field service jobs and workshop jobs will be closing and provide with a status update spreadsheet for billing.
On workshop jobs that require customer updates, send weekly updates to customer on progress after weekly meeting with Service Manager
Once workshop jobs are complete, ensure all required paperwork is ready for billing
Ensure that all internal machine work is captured for invoicing. Create log information for engineers staying in the apartment so this can also be included in the final invoicing.
If POs are missing from jobs, reach out to the customer point of contact and request PO. Service Manager or Service Coordinator will provide POC.
Maintain daily, the Sales Force, RST North America emails and distribute to the appropriate department.
IT duties – Create and maintain a spreadsheet listing all I-pads, I-phones, and laptops of each employee, this should be updated monthly. Assist in setting up new employee equipment, phone, I-pad etc.
