Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant with exceptional Excel skills, specifically expertise in pivot tables, to support our office operations. The ideal candidate will handle a variety of administrative duties and manage complex data analysis and reporting tasks using Microsoft Excel to help drive efficient decision-making.

Key Responsibilities:

  • Provide general administrative support including scheduling, correspondence, and document preparation.
  • Create, manage, and analyze large datasets using advanced Excel features, with a focus on pivot tables to summarize and interpret data.
  • Generate detailed reports, dashboards, and charts from pivot tables for management review.
  • Assist in data entry, validation, and maintaining accurate records across multiple systems.
  • Support project teams by organizing data, tracking progress, and providing insights through Excel.
  • Maintain filing systems, both electronic and paper, ensuring easy retrieval and confidentiality.
  • Coordinate meetings, prepare agendas, and take minutes when required.
  • Communicate effectively with internal teams and external contacts to gather or provide information.
  • Troubleshoot basic Excel issues and provide user support on data-related queries.
  • Continuously improve data workflows and recommend automation opportunities.

Requirements:

  • Proven experience as an Administrative Assistant or similar role with a focus on Excel data management.
  • Advanced proficiency in Microsoft Excel, including:
  • Pivot tables and pivot charts
  • VLOOKUP/HLOOKUP, INDEX-MATCH functions
  • Data filtering, sorting, and conditional formatting
  • Basic macros and formulas knowledge a plus
  • Strong organizational and multitasking skills with excellent attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Proficient with Microsoft Office Suite (Word, Outlook, PowerPoint).
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

Preferred Qualifications:

  • Experience with database management or business intelligence tools.
  • Familiarity with CRM or ERP systems.
  • Prior experience supporting finance, operations, or project management teams.
